Association By-Laws Alumni
Association By-Laws ARTICLE I –
Name and Organization: The name
of this organization shall be the Meriden Rural / Jefferson
West Alumni Association. The purpose is
to promote and encourage fellowship and friendship for all of those who
have
attended all of the high schools in and around ARTICLE II
– Members: Members of
the Alumni Association are those who have attended
Meriden Public and ARTICLE Monthly
Meetings: due to some circumstances meetings will be
conducted by way of email or phone conferencing and meetings minutes
and
responses will need to be taken/given same as if we are all gathered
around a
table. Annual
Meeting: An annual reunion and business
meeting will
be held on the Saturday evening of Memorial weekend.
Members shall be notified by mail and/or
email regarding the specifics related to time, date, place, etc. This reunion/meeting shall feature a banquet
style meal and a program arranged by the Executive Committee. Information on this and other events or
activities can be found on the Alumni’s website
www.meridenjeffersonwestalumni.com/ ARTICLE IV – Officers: Elected officers are:
President,
Vice-President, Secretary, Treasurer, and Historian.
These four elected officers will serve as the
Executive Committee and shall function in accordance with the Alumni
Association and its By-Laws. Once an
officer is elected each officer will serve a term of 3 years. President:
chief presiding officer who is charged with the
appropriate functioning
of the Executive Committee and the Alumni Association.
This position will preside over meetings and
other Alumni activities. This position
must have knowledge of Microsoft Access, Microsoft Excel, scanners and
basic
internet design and usage. Vice-President: assist
the President and assume leadership
duties in the absence of the President.
This position also will be responsible for editing the
newsletter,
invitations, flyers, and ads for the school and county newspapers. This position must have knowledge of Microsoft
Access, Microsoft Excel, scanners and basic internet design and usage. Secretary:
assist Vice President and
Treasurer when needed. This position will
work closely with the
Historian with regards to maintaining membership rosters, mailing
invitations,
the Library Ledger, tracking obits and marriages (gals only). Take minutes at every meeting and at the
annual Banquet. This position must have
knowledge of Microsoft Access, Microsoft Excel, scanners and basic
internet
design and usage. Treasurer: This position will
handle all
financial transactions and records. Secretary
and
Treasurer will be responsible for picking up the mail.
This position will work closely with the
Secretary and Historian with regards to maintaining addresses, name
changes,
etc. This position must have knowledge
of Microsoft Access, Microsoft Excel, scanners and basic internet
design and
usage. Historian: assist the
Secretary/Treasurer in
maintaining membership rosters and addresses and record date of
deceased alumni
and maintain the Alumni Associations website.
The Historian will maintain the Alumni’s website and
document items
donated to the Alumni. Pictures,
annuals, documents pertaining to the Alumni or schools will be scanned
by the
historian and placed on the Alumni website.
A listing will be provided to the Treasurer prior to the
Alumni
Banquet. This position must have
knowledge of Microsoft Access, Microsoft Excel, scanners and basic
internet
design and usage. ARTICLE V – Elections: The Alumni Board will
serve as the Nominating Committee for
the election of officers. The President
shall call for nominations from the floor during the annual meeting. Those who are nominated must indicate a
willingness
to serve in the capacity for which the nomination is made. ARTICLE VIII – Amendments: These By-Laws may be
amended at any annual meeting by a
two-thirds majority vote of the members present. Such
amendments must be submitted in writing
to the Executive Committee at least sixty days in advance of said
annual
meeting. ADMENDMENT
I – Committees:
All
committees will be
accountable to the Board. In regards to
fundraising, all expenditures, materials, and income or profit money
raised
must be approved by the Board. All items
purchased and/or sold on behalf of the Alumni Association will be the
property
of and housed by the Alumni board.
Donations are exceptions. A committee
will be
established of 2 or more alumni members to audit the financial records
prior to
the annual meeting. All findings will be
presented by this committee at the Annual Meeting for discussion and
resolution
if needed. Subcommittees
will be
established as needed when Conducting
fundraisers. Fundraising
will be done
to raise money to pay for restoration of trophies, future composite
pictures,
postage, etc. Locating
items for
retail sale Coordinating
the selling
of alumni merchandise Preparing
for the
Homecoming Parade Preparing
for the Alumni
Baseball Game Cleaning
and maintaining
trophies and trophy cases Post and
distribute
flyers for different events the Alumni will be part of ADMENDMENT
II –
Donations: Donations The Meriden
Rural /
Jefferson West Alumni is not tax exempt with regards to donations. Any items
or moneys
donated are not tax deductible. Donations
of
money and / or school items will be accepted and stored at the Denison
Sate
Bank ADMENDMENT Sales The

Rural / Jefferson West Alumni will conduct sales of merchandise at
various events Alumni

Homecoming Other
venues approved by
the Board The Meriden
Rural /
Jefferson West Alumni Board will collect and remit sales tax on

sold Bricks T-Shirts Mugs CD’s
(Meriden
Rural/Meriden High School / Jefferson West composite pictures, etc.) Various
other items
